Virtual Assistant · Admin + Lead Generation

I build the lead systems that turn your audience into booked calls

15+ years supporting C-level executives. Now I help business and career coaches fill their calendar with qualified discovery calls — and keep the admin behind them running smoothly.

Most coaches don't have a lead problem. They have a follow-through problem.

About

Executive-level support, pointed at your pipeline.

For over fifteen years I worked alongside C-level executives across four industries, where the job was always the same: bring order to complexity and make sure nothing important slipped. Today I bring that same discipline to business and career coaches who are brilliant at coaching and stretched thin everywhere else.

My work covers both sides of what keeps a coaching business moving: the lead generation side — prospect research, lead magnets, landing pages, and outreach — and the admin side — inbox, calendar, follow-up, and client onboarding. I work in complete systems rather than isolated tasks, so every piece feeds the next and your calendar fills with conversations worth having.

Services

Two ways I take work off your plate.

Lead Generation

01

Prospect Research & Outreach

I find and qualify your ideal clients or partners, identify the decision-maker, and reach out with personal messages and follow-ups. Backed by niche and funnel research.

02

Landing Page & Lead Magnet

Conversion-focused pages with email capture and booking integration.

03

SEO Keyword Research & Writing

Keyword research and SEO content that attracts qualified organic traffic.

04

Content Strategy & DM Automation

Positioning-driven captions and automated replies that turn content into conversations.

Admin Support

05

Inbox & Calendar Management

Inbox triage, scheduling, and reminders so no discovery call slips through.

06

Lead Follow-Up & CRM Tracking

Logging every lead and following up on time, so warm leads don't go cold.

07

Client Onboarding & Documents

Welcome emails, forms, and organized files in Google Workspace or Notion.

Selected Work

One client, one connected funnel.

The four projects below were built for the same client, in sequence, as one system: research defined the audience, the lead magnet gave them a reason to opt in, the landing page converted them, and SEO content kept new people arriving. Each card shows the goal and what was delivered. Project 07 is a sample research sprint for a fictional client, showing the same prospect-research process end to end.

Project 01

Funnel Audit: Where a Coach's Leads Slip Away

Portfolio project · real coaching business

The Goal — Audit a coaching business's lead funnel and identify where qualified leads were being lost.

What I Delivered

  • Audited the client's digital lead funnel: strong offline credibility, but no lead magnet, nurture sequence, or clear next step online
  • Benchmarked against two industry references to identify trust-building and conversion patterns worth adapting
  • Flagged the key gaps: lead capture, nurture system, and template-heavy content as the main barriers to booked calls
  • Delivered five actionable recommendations, each with a measurable target
Project 02

Lead Magnet Research & Strategy

The Goal — Research whether the client and its competitors used a lead magnet, and recommend a strategy to close the capture-stage gap.

What I Delivered

  • Confirmed a capture-stage gap: no lead magnet, only passive social media calls-to-action
  • Benchmarked two competitor lead magnet strategies: a downloadable PDF model and a multi-layer quiz-and-application funnel
  • Evaluated each approach against the client's niche, team size, and audience readiness
  • Recommended three tailored lead magnet ideas, prioritising a gated readiness checklist as the fastest to launch
Project 03

SMB Appointment-Setting Checklist Landing Page

The Goal — Turn the lead magnet into a page that converts website traffic into qualified sales conversations.

What I Delivered

  • Designed a free self-audit checklist as the lead magnet offer
  • Built a conversion-focused landing page on Wix
  • Set up an email capture form to grow the client's list
  • Integrated Calendly for direct consultation booking
Project 04

SEO Keyword Research & Article Writing

The Goal — Bring in organic traffic that already searches for the client's offer.

What I Delivered

  • Conducted keyword research across primary, secondary, and long-tail terms using Ahrefs and SEMrush
  • Mapped search intent to identify high-value content opportunities
  • Wrote a full SEO article targeting qualified organic traffic
  • Connected the article's CTA directly to the checklist landing page, tying SEO into the lead funnel
Project 07

B2B Lead Research Sprint with Apollo

Sample project · fictional client

ICP brief, Apollo filtering and manual QA of 70 B2B SaaS companies → 24 qualified companies and 17 verified decision-maker contacts.

The Brief — Northline SEO, a fictional US agency selling SEO & content retainers ($3–8K/month), needed a qualified list of B2B SaaS companies (51–200 employees, US/UK, Series A–B) with a reachable marketing decision-maker.

What I Did

  • Wrote a one-page ICP brief: firmographics, persona, buying signals and negative criteria
  • Built and logged filters in Apollo (free plan): 8,700 → 682 → 213 companies
  • Manually reviewed 70 companies against a 12-point QA checklist (real SaaS? B2B? US/UK market? in-house SEO team?)
  • Result: 24 qualified companies and 17 verified decision-maker contacts

What I Learned (the part tools don't tell you)

  • Apollo's industry filter let through staffing agencies and B2C apps, so every company still needs a human check.
  • A Delaware address is often just a legal registration; several "US" companies actually operate from India or Dubai.
  • AI shortcuts contradicted Apollo data on 6 of 47 rows, so I went back to manual verification.

Why it matters for coaches — it's the same process I use to find a coach's ideal clients: define who's a fit, filter, then check every lead by hand before anyone gets a message.

Next step — segment messaging and a 3-step email sequence.

Admin & Website Support

Behind every booked call is a website that's easy to update. This is the kind of site coaches and wellness practitioners rely on — and the admin I take off their plate.

Project 05

WordPress Website Setup — Mindful Living Collective (Sample Project)

The Goal — Build a clean, easy-to-navigate WordPress site for a wellbeing brand that wants to share resources, programs, and events in one place.

What I Delivered

  • Set up a 6-page WordPress site: Home, About, Resources, Programs, Events, and Contact
  • Built the homepage with a clear hero message, a call-to-action button, and three offering cards that guide visitors to the right page
  • Organised the navigation menu so every offer is one click away
  • Added an email subscription widget and a contact page so visitors have a next step
Project 06

Client Appreciation Event — Project Plan, Timeline & Budget (Sample Project)

The Goal — Plan a Women’s Day celebration for a realtor’s 30 VIP clients in Jakarta that strengthens relationships and encourages referrals, delivered on time and within an IDR 140 million budget.

What I Delivered

  • Wrote the project charter: deliverables, stakeholders, and six key risks with mitigation plans
  • Built a 6-week Gantt chart with 17 tasks, owners, dependencies, and progress tracking
  • Created the budget across 9 cost lines with a 10% contingency reserve
  • Planned guest management end to end: invitations, RSVP tracking, follow-up with non-responders, and post-event thank-you notes
